Scotch Plains-Fanwood PTA Council Objectives

The objectives of this council are:

1) To provide a forum for officers and representatives of the PTA, school administrators, and representatives of the Board of Education affiliated with the public schools of Scotch Plains-Fanwood.

2) To promote unity, acquaintance, and good will among the local school associations.

3) To afford local education leadership an opportunity to exchange ideas with the representatives of the different associations.

Evergreen School PTA Objectives

1) To promote the welfare of children and youth in the home, school community and place of worship.

2) To raise the standards of home life.

3) To secure adequate laws for the care and protection of children and youth.

4) To bring into closer relation the home and the school, that parents and teachers may cooperate intelligently in the education of children and youth.

5) To develop, between educators and the general public, such united efforts as will secure for all children, and youth, the highest advantage in physical, mental, social and spiritual education.

Evergreen’s PTA Membership

Joining PTA Membership is an annual event that takes place all year long beginning at “Back to School Night”. Anyone can join PTA; aunts, uncles, grandparents or neighbors, whether they no longer have school age children or if the children are enrolled in a school other than Evergreen.

Membership dues are $5 per adult. A sign-up slip is sent home at the beginning of the school year and is available in the PTA Newsletter, which comes home every other month. The PTA Membership dues help support many of the programs and events that occur during the school year.

Evergreen PTA Committee Guidelines

- Each PTA committee needs to obtain approval from your PTA President and submit detailed information in writing on your committee plans 1 month in advance. The PTA President will review the request & meet with the Principal if necessary.

- Each committee is working within a budget, to get reimbursed for items submit a “Check Request Form” to your PTA President who will approve & then submit to the PTA Treasurer.

Committee Procedure Book

One of the most valuable tools for an effective PTA is a “Committee Procedure Book” for each committee in the PTA. The Procedure Book should be a binder with the name of the committee and have guidelines & responsibilities of that position. Keep your book up-to-date detailing work done on your committee throughout the year. Pages should be added or deleted as material becomes obsolete. Remember, a Procedure Book is the property of the PTA, not the person using it for the year.

A new person may have no experience and looks for a plan to follow and guide them for the school year.

Procedure Book should include:

- name, phone # & period served of each committee member.

- Your plan of work & calendar for the year.

- Any information from State/National PTA pertaining your job.

- All correspondence pertaining to your committee.

- Copy of any reports given to local association, county council & state PTA.

At the end of your time served on your committee, organize your Procedures Book so it is ready to be passed onto the next chairperson who is taking your position the following school year. The Procedures Book should be passed on to your successor within 30 days of the end of your term.

Meeting Attendance

It is very important to try to make as many of the PTA meetings as possible. It is especially important around the months that your committee event is taking place, in case there are questions concerning the event or your plans. If for any reason your cannot make the meeting, please submit a written report the PTA President prior to the PTA meeting.

How to Obtain Volunteers

All PTA committees are responsible for getting their own volunteers. (Please do not call upon the Room Parents for assistance, this is not their responsibility.) You may send home a flyer explaining what your committee is doing and why they need volunteers. The flyer must contain the name of the committee, committee chairperson names & phone #s.

Xerox Guidelines for Flyers/Memos

All flyers/memos must be approved by the PTA President and the Principal. Each flyer must contain the name of the committee, committee chairperson names & phone #s.

Once a flyer/memo is approved by the Evergreen PTA President or Principal, the PTA committee member may make copies at Evergreen School after school hours, if the copier is not being used by a faculty member.

Please be aware that the PTA will not reimburse for “outside copying costs” or for the purchase of paper. Outside copy expenses are not part of your committee budget.
